Setting User Rights Groups

Before adding users it’s important to understand User Rights Groups. These groups allow you to define what access people can have to specific features.

User Rights Groups are managed in Settings > Users & Departments > User Rights Groups or by visiting here:

Each user can only be in 1 group and there are 4 different groups by default on each account, however you can customise these or add your own from scratch to tailor them to suit your business needs.

To edit or delete an existing group just click the More menu (3 dots) next to the row you wish to amend. Then choose Edit or Delete.

To add a new group just click the green ’New Group’ option in the top right.

Whether you’re editing or adding new you will see the same page layout (either empty or pre-filled with the prior content depending on which option got you there).

The Group Name field is what will show elsewhere in the dashboard so we recommend naming the group something descriptive and thus easily identifiable (ie not just ‘Group A’).

Optionally you can add a description to the group (this only shows on the User Rights Group table but if you intend on having very granular groups can be useful to not need to jump in and out of groups to see which ones need editing).

Then you simply toggle on/off the features to build the group you need. Features include:

Dashboard Access – with this turned off, the user will not be able to log in to dashboard.yourwelcome.com to administer Compliance via the main dashboard. Typically if you’re adding Owners, this is something they do not need access to.

PropertyCare Task App Access – PropertyCare is our housekeeping and maintenance software which shares the same dashboard as YourCompliance but is a different paid subscription type. The PropertyCare platform includes iOS and Android apps for cleaners/inspectors/maintenance staff and this can be toggled on/off depending on whether you want the users to view this. If you do not have a PropertyCare subscription you can leave this off.

YourCompliance Uploader – this refers to access to your simplified Upload portal – (sometimes referred to as the ‘Owner Portal’). If this is toggled off, the user will not be able to login at your company subdomains portal (ie myvacations.yourcompliance.com). NOTE if a user has access to the Dashboard, they can still upload via dashboard.yourwelcome.com but without this they cannot visit the dedicate upload portal for the simplified upload experience.

Auto Approved Uploads – this feature can only be turned on if the user also has access to the YourCompliance Uploader Portal (Owner Portal). When a user uploads a certificate, the document sits as pending approval and requires a dashboard user to review the upload to ensure its of sufficient quality (and of the intended purpose). If you have in-house team members (or reliable owners!) as your users then you may want to skip the approval process and have any documents uploaded by that user pre-approved. Note that the auto approval feature applies to documents uploaded via the dashboard AND the upload portal so even if your team members will NOT be using the Owner/Upload portal you may still want to grant them auto approval rights here.

Combine the above options to build the User Rights Groups that work best for your setup.
