Messaging Summary
Messaging via YourCompliance is a multi-faceted feature which requires multiple elements of the dashboard to be combined. It is best broken down to the basic concepts of ‘Who’, ‘What’, ‘When’, ‘Where’ and instead of ‘Why’ we talk about ‘How’.
It’s also best to tackle the above not in the familiar order outlined above but instead in the following order:
HOW – How your messages are sent (ie from which mailbox) is configured in the Message Sending area of the dashboard. We offer a default way to send via our email sending domain but you may want to personalise this and create different mailboxes for different rules.
WHAT – What the contents of the messages they receive are created in Message Templates. We have some inbuilt templates but the platform is fully customizable so you may want to match how your own marketing or internal emails are styled so your owners and recipients feel familiar with anything they receive.
WHO – Who the recipients of your messages will be are set in Notification Groups. There are some key concepts surrounding Notification Groups that are important to read to ensure your intended recipients get the right messages and no-one else.
WHEN & WHERE – These differ for Certificate and Checks.
CERTIFICATES – For Certificates, each one has what we call ‘trigger points’ (ie specific dates & times) these include:
- The Certificate Expiry Date
- The moment an uploaded certificate has been approved
- The moment an uploaded certificate has been rejected
You define the above in the Certificate Notifications area of the dashboard
CHECKS – For Checks, there is only one ‘trigger point’ for checklists and that is the completion of the check so there is no ‘When’ to be set for Checks. The culmination of configurable items for Checks is optionally done on step 2 of each Checks setup.
The dashboard includes a Sent Messages log so you can be sure what you were planning to send has gone out (and check on any bounces) to ensure deliverability.
